Privacy Notice
This notice explains what personal information FNS Limited collects through this website, why we collect it, and what you can do about it.

Who we are
FNS Limited is the data controller for the information described in this notice. We are registered in England and Wales, company number 05170604. Our registered office is 7 Brickfields Industrial Estate, Finway Road, Hemel Hempstead, Hertfordshire, England, HP2 7QA
You can contact us about privacy by email at info@fnsdesk.co.uk or by telephone on 01923 923 110.
What we collect through this website
- Enquiry details you send us. When you complete the contact form we collect your name, company name, email address, telephone number if you choose to give one, and the message you write.
- How you reached us. Alongside an enquiry we store the page you submitted it from, the referring website where your browser provides one, and any campaign values (utm_source, utm_medium, utm_campaign, utm_term, utm_content) present in that page's web address. This is recorded only where it is available at the moment you submit the form. We do not store this information in your browser and we do not follow you from page to page, so if a campaign value is not present on the page you submit from, it is simply not recorded.
- Basic technical information. The browser user agent string is stored with your enquiry, and our hosting and security providers keep short-term server logs including IP addresses. These logs exist to keep the site available and to stop abuse.
We do not ask for special category data, and we ask you not to send sensitive personal information through the contact form. This website does not run advertising or analytics tracking, and does not build a marketing profile of you.
Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Replying to your enquiry and discussing whether we can help | Article 6(1)(b) — taking steps at your request before entering into a contract |
| Keeping a record of enquiries so nothing gets lost and we can follow up | Article 6(1)(f) — our legitimate interest in running the business properly |
| Understanding which pages and campaigns generate enquiries, at an aggregate level | Article 6(1)(f) — our legitimate interest in improving this website |
| Keeping the site secure and available | Article 6(1)(f) — our legitimate interest in protecting our systems |
| Meeting legal, accounting and regulatory obligations | Article 6(1)(c) — compliance with a legal obligation |
We do not send marketing email from enquiries submitted through this website. If we ever introduce a mailing list, it will be a separate, clearly labelled opt-in.
Who sees your information
Your enquiry is visible to FNS staff who need it to respond. Access to the admin area of this website requires a Microsoft work account inside the FNS tenant, and is limited by role.
We also rely on a small number of service providers acting on our instructions:
- website hosting and content delivery
- our database and application platform, which stores enquiry records
- a transactional email provider, which delivers enquiry notifications to us
- Microsoft 365, which we use for business email, files and identity
We do not sell personal information, and we do not share it with advertising networks.
International transfers
Some of our providers operate outside the UK. Where personal information is transferred outside the UK, we rely on UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses, together with appropriate technical safeguards such as encryption in transit and at rest.
How long we keep it
- Enquiries that do not lead anywhere: normally kept for up to 24 months, then deleted, so we have context if you come back to us.
- Enquiries that become client relationships: retained for the life of the relationship and then in line with our contractual and accounting obligations.
- Obvious spam: marked and deleted routinely.
- Server and security logs: short retention periods set by our hosting and platform providers.
How we protect it
Enquiries are stored in a database that the public cannot read. Submissions travel over HTTPS. Administrative access requires a Microsoft work account with multi-factor authentication and the conditional access policies applied across our tenant, and staff access is limited by role. Sign-in activity is logged.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete information where there is no good reason for us to keep it
- ask us to restrict how we use it, or object to processing based on legitimate interests
- ask for your information in a portable format, where that right applies
To exercise any of these, email info@fnsdesk.co.uk. We will respond within one month. There is no charge in normal circumstances.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you raised it with us first so we can put it right.
